AvviBill takes the hassle out of invoicing by automating the process and giving you the flexibility to create manual invoices when needed.
Auto-Invoicing
AvviBill can automatically generate invoices for you on a recurring schedule — so you never forget to bill a client.
- Weekly invoicing — Invoices are auto-generated every Monday at the start of the week. They include all approved timesheets from the previous week.
- Monthly invoicing — Invoices are auto-generated on the 1st of each month, covering all approved work from the previous month.
How It Works
- The system checks for all approved timesheets that haven't been invoiced yet.
- A new invoice is created for each client with line items pulled from the approved timesheets.
- Each line item includes the contractor's name, hours worked, and the amount billed at the Client Rate.
- You'll receive a notification when a new auto-invoice is generated so you can review it before sending.
Tip: Auto-invoicing runs based on your agency's billing cycle setting. You can configure this from the Settings page under Billing.
Manual Invoices
Sometimes you need to create a one-off invoice outside of the regular billing cycle — for a milestone payment, an ad-hoc project, or an adjustment.
Creating a Manual Invoice
- Navigate to the Invoices page from the sidebar.
- Click the "Create Invoice" button in the top-right corner.
- Select the client you want to invoice.
- Add line items manually:
- Enter a description of the work or service.
- Set the quantity and rate.
- The total for each line item is calculated automatically.
- Optionally, pull in approved timesheets that haven't been invoiced yet.
- Add any notes or payment terms at the bottom.
- Click "Save Invoice" to finalize it.
Tip: Manual invoices are great for one-time expenses, bonuses, or project milestones that don't fit into regular timesheet billing.
Downloading Invoice PDFs
Every invoice in AvviBill can be downloaded as a professionally formatted PDF, ready to send to your client.
- Open any invoice from the Invoices list on your dashboard.
- Click the "Download PDF" button at the top of the invoice detail view.
- The PDF is generated instantly and saved to your device.
What's Included in the PDF
- Your agency logo and business details.
- Client information — name, address, and contact details.
- A detailed line-item breakdown of all work billed.
- Subtotal, taxes (if configured), and total amount due.
- Invoice number, date, and due date for record-keeping.
Tip: Make sure your agency logo and details are up to date in Settings → Branding so your invoices always look professional.
